How to: Create a Rules Scheduled Message
Rules Scheduled Messages are used when you want to send a message based on a specific set of rules, to existing clients/contacts. The rules allow you to narrow down an existing Contact Groups by other attributes such as language, appointment date, clinic, or appointment type; just to name a few.
- Log-in to: https://hms.teletask.com/, your email address is your username.
- Click on Messages in the top menu bar.
- Press Create Message button in the top right-hand corner.
- Click the Select button for Rules Scheduled Message.
- Enter a Name for the new message.
- Select the languages you would like to use. Add additional languages as applicable.
Note: Languages are used when the client's profile has a language preference for a particular language.
- If using the Scheduler, Check the box for Scheduler Appointments. This will allow you to use the sending rules based on their appointment details listed.
- Check the boxes for the Message Type you want to send; our options are Text, Voice, and Email.
- Press the Next button to save your changes in the Properties section and proceed to the Contents section.
- Add your desired content for that message.

Note for Single Language: You will be taken directly to the contents page of the message types you selected starting with either Text, Voice, and then Email. Press Next: Voice to edit the voice content and/or Next for the Email content (if those types were selected)
Note for Multiple Languages:
Click the Start button for the Text, Voice, or Email message you want to create.
Once you have updated the English sections, you can press the Translate Now button to have Google Translate translate the English messages into the other languages you have selected.
- Once you have finished updating your messages click the Next option in the bottom right-hand side of the screen to proceed to the Sending Rules section.
- Configure the Timing for the message. Select the Send Time for the message to start going out to your specified clients.
- If you have scheduled to send this message during our off hours, check the box for Schedule on Send Time.
Note: Off hours can be adjusted under Setting and then No Send Times.
- Optional, if this is not a repeating message and will only be sent once. Select the date on the Send Date calendar for the message.
- To trigger the message, Add Sending Rules .
- If applicable, select which Groups the rules will apply to. You can choose existing contact groups or All Contacts.
- Messages can be sent to all clients within a group without narrowing them down further by a field type. To do this, check the box for Record Present.
- Choose a Field Name from the drop down list.
- Pick the appropriate option for your message.
- Enter the associated Set # of days in the future, Appointment Type, Status, Clinic Name, etc in the final box.
- Add any additional Sending Rules and choose if the the new rule is in addition to the previous rule or instead of it.
Note: If you need to combine more then two rules together, they need to all be either "And" options or "Or" options but not both. This means the "And" statements would read as: Rule 1 and Rule 2 and Rule 3. The "Or" statements would read as: Rule 1 Or Rule 2 Or Rule 3. Currently, we do not support the configuration of mixed rules such as: Rule 1 or Rule 2 and Rule 3.
Examples of Common Appointment Type Rules:
- Missed Appointments
This rule is for Appointments that occurred yesterday (-1) and their status is set to missed.
- Appointment Reminders
Appointment Date is tomorrow (1).
- Appointment Reminder for a Specific Appointment Type
Appointment Date is tomorrow (1) and the appointment type is Well Check.
- Language Specific Class
Language is set to Spanish and it will only go to clients in clinic 00254 with the language Spanish.
