How to: Update Status Options for Appointments through the Scheduler


The Status options are used to check patients/clients in and out of their appointment. You can also use them to mark an appointment as missed or reschedule an appointment. You can use status options for an individual or for an entire family.  Please follow the steps below to update the status for patients.

            Note:  The Scheduler must be enabled on an account prior to use.
                        Please reach out to Teletask staff to enable this feature.

            Note:  In order to use the Family Appointments feature it must first be enabled in Settings;

  1. Log-in to: https://hms.teletask.com/, your email address is your username.

  2. Click on Scheduler   in the top menu bar.

  3. Select your clinic or office in the top left-hand corner.

  4. On the small Calendar click on the Date for the appointment.  You can use the arrows  to navigate forward or backwards between the months.



  5. Switch to day or week view.



  6. Click on the applicable appointment Time Slot



  7. The Appointment Details and status options will appear on the right-hand side of the calendar.
    Note: If Family Actions is not an option, the user is not part of a Family or the Family Appointments feature is not enabled.



  8. You can now Check-In the patient, mark the appointment as Missed, or Reschedule the appointment by choosing Edit. To perform multiple options for a family choose Family Actions.



Check-In/Out Clients

    1. Select Check-In  to mark that a patient present. The Status will change to Checked-In.



    2. The bar at the top of the appointment will change:



    3. Select Check Out  once the appointment is over to mark the appointment as over. The Status will change to Checked-out.



    4. The bar at the top of the appointment will change:


Missed Appointment

    1. Select Missed  to mark the appointment as missed. The Status box will change to Missed.



    2. The bar at the top of the appointment will change:



Reschedule or Edit an Appointment

    1. Select Edit  to reschedule the appointment.
      1. On the small Calendar click on the Date for the appointment.  You can use the arrows  to navigate forward or backwards between the months.

      2. Switch to day or week view.



      3. Click on a Time Slot for the Resource that will accommodate the appointment Duration.
        This will automatically update the Time/date and Resource fields on the right. 

        Note
        : In addition to Steps I. through III. you can also select the Time/Date from the drop-down menu. Scheduling using the drop-down menu will not allow you to view open time slots on any given day.



      4. Optional:  Enter any Notes about the appointment.



    2. You can also change the Type  of appointment using the drop-down menu. This will automatically update the Duration.



    3. Press Update  to finalize the changes.

Delete an Appointment

    1. Select Edit  and then choose Delete  to remove a scheduled appointment.

    2. Press OK to confirm that you want to delete the appointment.



    3. The appointment will now be removed from the scheduler.

Family Actions

    1. Select Family Actions .  This will open the Edit Family Appointments options.

      Note: Family Actions will only be available if the user is part of a family and the Family Appointments feature has been enabled in Settings.  For more information visit:  How to: Enable Family Appointments for the Scheduler




    2. Check the box next to the name of the patients that you want to select
      Note: Check the box at the top, to select all members of the family.



    3. Select the action that you would like to take place. You can Check-in or Check-out patients, mark an appointment as Missed, Reschedule an appointment, or Delete an appointment.



    4. As you make selections, each appointment will be marked separately.



    5. Choose Save & Close  to finalize the changes.

    6. The status bars for the appointments will update:
