How-To: Send a Document To Be Signed Through Chat

Documents in need of a e-signature can be sent securely to participants through the Chat function. Our Support Team can convert an existing form into a signature form for you with check boxes, select buttons (radio), and text fields along with a signature box and date.
Note:  Forms can be sent in multiple languages, but the forms must be configured in the specified language first.

Note:  Signed documents and chats must be enabled on an account prior to use. Please reach out to Teletask staff to enable this feature.

Send a Document for Signature


  1. Log-in to: https://hms.teletask.com/, your email address is your username.

  2. Click on Chats   in the top menu bar.

  3. Browse or Search for the participant that will receive the form. You can search by name or phone number. 


  4. To add the form, click on the Sign Document icon  . A list of your available documents will appear, select the document that you want to send.



  5. A window will pop up which will allow you to select which language you want the form to be in. Once selected, click on the Create Link, Create + Send, or the Copy Link button.



  6. Create Link  will create the message with the link in the chat text box so the message can be edited if more information needs to be added.

  7. Create + Send  will create the link and send it to the participant.

  8. Copy Link  allows you to copy the link to send to the participant in a different manner outside of chat such as using the link in person or sending through email.

View Signed Documents in Chat

Once a document is signed, it can be viewed and downloaded from within the chat or via the Reports page. Follow the directions below to view a document that has been signed by a participant within Chats.


  1. Log-in to: https://hms.teletask.com/, your email address is your username.

  2. Click on Chats   in the top menu bar.

  3. Browse or Search for the participant that will receive the form. You can search by name or phone number. 

  4. Once you've opened the participant's chat window, Click on the received document icon  in the body of the message.

  5. This will open the document in a pop-up window. If you wish to download the file as a PDF, Click on the Download  link in the upper-left corner of the page.

     

View Signed Documents in Reports

Once a document is signed, it can be viewed and downloaded from within the chat or via the Reports page. Follow the directions below to view a document that has been signed by a participant.


  1. Log-in to: https://hms.teletask.com/, your email address is your username.

  2. Click on Reports   in the top menu bar.

  3. Select Signature  from the Reports section.

  4. Use the drop-down menu next to Signature to pick your document from the list.



  5. Select a Date Range for responses.



    Optional: You can also enter the phone number of a specific contact you wish to see the results of.



  6. Press the Generate Report button  to view the results.


    Clicking Download will open up the form as a PDF file.
Once the results are generated, you can export them as a .csv Excel file  or choose to print them .

When you send the form to a participant to sign, they will click on the link and the form will open up in their phone's browser. The participant can then make their selections and sign the document.

When you click on the link, it will land on this start screen. Click the Start  button to navigate to the form.


The form can contain radio buttons, checkboxes, and the field to either draw your signature on a touchscreen or type out your name to serve as an electric signature.



To sign the document, Scroll to the bottom of the form and select whether you wish to type or draw your signature.

      

Once finished, Click the Accept Signature  button, and the signature will appear on the form.
      


Once the document is signed, Click the Submit  button, and the participant will receive a confirmation message that their signed form has been sent.
