How to: Schedule and Edit Automated Scheduler Reports

The Scheduler report type is a report of appointments, or a summary of appointments, on the Scheduler for a specified time period. The report can be generated for a particular location, or filtered for more specific results. The scheduling option automatically runs a report on a recurring basis.

InfoNote: The Scheduler must be enabled on an account prior to use. Please reach out to Teletask staff to enable this feature.

Schedule a Scheduler Report
  1. Click Reports  in the top menu bar.

  2. Choose Scheduler  as the report type.


  3. Use the dropdown menu bar to select a Resource or choose All resources.
    WarningNotesNote: The Resource selected cannot be changed once the scheduled report is created.




  4. Optional: Use the Change Report Columns section to select what data will appear in the report.

    WarningNote: The Report Columns cannot be changed once the scheduled report is created.



  5. Optional: Under Customize Order, drag and drop theField Names to reorganize the order they appear in the report results. 

    WarningNote: The Field Order cannot be changed once the scheduled report is created.



  6. Press Schedule Report .

  7. In the Schedule Report dialog box, enter the Report Name.



  8. Select the Schedule to run for the previous day (each day) as Daily, previous week (once a week) as Weekly, or previous month (once a month) as Monthly.



  9. Pick if the report will be for Past Appointments or Future Appointments.



  10. Enter the Start Date & Time, which will be the basis for the report's generation schedule.



  11. Add the End Date for the report. If left blank, the report will automatically end one year after the start date.



  12. Optional: Check the box for the SFTP Outbox to allow the report files to be available to download through an SFTP file transfer client. The reports will be stored in an Outbox folder.

  13. Optional: Pick the Users to receive an Email of the report results. Reports are automatically available under the Automated Reports tab.



  14. Under Report Formattinguse the dropdown menus to choose the Date Format and Time Format to be used in the report.



  15. Under Report Details choose if the Report Criteria to be based on Appointment details or a Summary of scheduled appointments.



  16. Optional: Limit the report results by participants that belong to a particular Location Name or choose All locations to include all participants.

    1. Optional: Add Filter  to filter results by a selected field chosen from the dropdown menu.



  1. Click Save  to finalize the selections. The report will run on the provided Start Date & Time


View Automated Scheduler Report History

  1. Select Reports  in the top menu bar and choose Automated  as the report type.

  2. To view the results of a report, select History under the Action heading.



  3. Download the file using the Download Link for a specific day's report.



Edit Automated Scheduler Reports

  1. Select Reports  in the top menu bar and choose Automated as the report type.

  2. To edit the results of a report, select Edit under the Action heading.



  3. Make any needed changesPress the Save  button to finalize the changes for future reports.

Delete Automated Scheduler Reports

  1. Select Reports  in the top menu bar and choose Automated as the report type.

  2. To delete the results of a report, select Delete under the Action heading.



  3. Confirm the deletion of the report by pressing the OK button.
