How to: Edit or Delete an Existing Contact Group


The clients or contacts that you have may change over time and you may need to update or delete your current Contact Groups.

Here we have directions on how to:
  1. Import a New List of clients
  2. Download the Current List of clients in a Contact Group
  3. Adjust the Settings for the Contact Group
  4. Delete a Contact Group

Import a New List of Contacts or Clients

You can add to or replace an existing Contact Group with your imported files. These instructions are for importing Excel files (csv, xls, or xlsx).

Note: If you are using the Transfer Client, please contact Teletask Support Team for assistance.

  1. Before getting started, verify your Excel file data is organized into columns and has headers.

  2. Click Contacts    in the top menu bar.

  3. Locate the existing group that you would like to modify in the list of Contact Groups  .

  4. To the right of the group, press the Edit drop-down button.



  5. Choose Import from the list of options.



  6. Select Upload new file (csv, xls, or xlsx)  and then press Next.



  7. Click on Choose File, locate the file you are uploading and select Open.



  8. Select the Upload type and decide if you want to Replace Group contacts or Add to Group contacts of an existing group. 



  9. If you have dates and times in your file, find the format that matches the Date format and Time format from the drop down list.

    In our example we are using the date format MM/DD/YYYY and the time format HH:MM AM/PM





  10. Press the Upload  button to finalize the selection.

  11. On the Map Fields we will locate which columns of the Excel file contains what information. You must included at-least one of the Required Fields.

     

  12. Select the drop-down list and choose the header which matches the associated field.
    In our example the required fields would look like this:



  13. Select any Optional fields that need to be captured from the Excel file.
    In our example we are capturing the full name, and appointment date and time.



  14. Press Continue  to finalize the selections.

  15. You will receive a notification that the Records are imported successfully after validation.


    Note: Depending on the number of clients it may take a few minutes for all of the clients to upload.

  16. As you can see the, the file imported the information specified. The Language since not selected defaults to English and a default Patient ID and Family Code was created.

Download the List of Current Contacts or Clients

You can download an Excel file (csv) of your current clients within your Contact Group.
  1. Click Contacts    in the top menu bar.

  2. Locate the existing group that you would like to modify in the list of Contact Groups .

  3. To the right of the group, press the Edit drop-down button.



  4. Choose Download from the list of options.



  5. The file will be automatically open and save to your Downloads folder.




Note: To change which columns are downloaded, edit the Settings for the Contact Group.


Adjust the Settings for the Contact Group

The Settings option allows you to make some changes to your Contact Group. You can change your group's name, how user's view it, and downloadable data to name a few.

  1. Click Contacts    in the top menu bar.

  2. Locate the existing group that you would like to modify in the list of Contact Groups .

  3. To the right of the group, press the Edit drop-down button.



  4. Choose Settings from the list of options.



  5. The settings for a particular Contact Group will open. Here you can make multiple changes to the Contact Group settings

    1. Change the Group Name by pressing Edit next to the name.



    2. With a Smart Group, you can press Edit Group Filter Rules to view or change the existing rules.

    3. Verify or change which users are able view the Contact Group when sending messages.
      You can change the Group viewable to users with access to the areas from All to specific clinics or offices. 



    4. Add an Opt-in keyword  allows your clients to text in a specific keyword and be auto added to the Contact Group.
      Note: This keyword needs to be specific to your account and this group. If you would like suggestions on Opt-in key words, contact our Support Team at support@teletask.com.



    5. Select the columns that will be downloaded when you choose to download a list of current clients in a Contact Group.



Delete Contact Group

When you no longer need a Contact Group, you can delete it to remove it from your list.

  1. Click Contacts    in the top menu bar.

  2. Locate the existing group that you would like to modify in the list of Contact Groups .

  3. To the right of the group, press the Edit drop-down button.



  4. Choose Delete from the list of options.



  5. A dialog box will appear to confirm that you want to delete the message. Press Ok.

The Contact Group is now deleted and will be removed from your list of Contact Groups.
