How to: Edit an Existing Contact or Client in a Contact Group

A contact profile is a record of a client/contact which includes their contact information, opt-in preferences, message history and additional details.  The information in the contact profile may change over time and need to be updated or you may need to remove a client entirely. 

Search for a Client

If you would like to locate a specific client in your contacts, you can use the search box to locate their contact profile. You can search for a client within All Contacts or within a specific Contact Group.

  1. Click Contacts    in the top menu bar.

  2. Select the option for All Contacts .

    - Or -
    Select the name of the Contact Group   you would like to search in, for the client.

  3. In the Search By Name or Number box, towards the top right-hand side of the screen, type in the client's name or 10-digit phone number.



  4. You can either select the contact from the drop-down list that appears or press the Search button.



  5. A list of all of the contacts that match that criteria will now appear.



View or Edit an Existing Client

Opt-In / Out Preferences

The opt-in or opt-out options allow you to customize your client's preferences for a particular type of message.

  1. Locate the client whose preferences you would like to change
    (See Search for a Client above)



  2. Decide if the client will be opting-in or out of Text, Voice, and Email messages.
    Note: A checked box means that the client has opted-in to receive that type of message. An unchecked box means the client has opted-out of that message type.

  3. To check or uncheck a box, simply click on it. The change will be automatically saved and used the next time a message is sent to the client.



View Client's Contact Profile and Message History

You can view your client's contact profile to see their current field values, their Groups, and Message History
  1. Locate the client whose profile you would like to see.
    (See Search for a Client above)



  2. Select either the name of the client, or select Edit and choose View Details from the drop-down menu.



  3. Here you can see your client's current contact profile information and Message History.

Group Membership

  1. To view the Contact Groups your client is a part of, click Groups  in the top right-hand corner.



  2. To add or remove the client, check or un-check the Contact Groups listed.
    Note: Smart Groups are not included in this list. For more information about Smart Groups visit:  How to: Create a Smart Group



  3. Press Save and Close  to finalize the changes.

Media

  1. To view any media files that have been received from the participant, click Media  in the top right-hand corner.



  2. To view an image, click on the Link option under File Path.



Message History

  1. To view your client's Message History, scroll to the bottom of the page.



  2. Messages periodically become archived. To view older messages in your Message History press Include Archived Message.

  3. To download a copy of a client's Message History press the Download icon  in the top right-hand corner of the page.

    1. This will provide a .csv version of the contact profile along with the client's Message History.


Edit a Contact Profile

Occasionally you may need to update a contact profile for a client such as when they switch clinics or have a new language preference. We do not recommend changing Primary Contact Information for a client unless you are correcting an email address. If your client has changed phone numbers, we would recommend that you add a new contact profile for the new phone number. This is to prevent previous Message History from being lost due to the change in phone number.

  1. Locate the client whose profile you would like to edit.
    (See Search for a Client above)



  2. Select Edit and choose Edit Details from the drop-down menu.



  3. Here you can edit the contact details for a client. 
    Note: The information you see here will depend on what settings you have configured under Settings and then Profile Settings.



  4. Once you have finished your updates, press the Update button  in the top right-hand corner, to finalize your changes.


Add a New Contact Profile

Individual clients can be created but are tied to either a Contact Group, Chat, or are created through the Scheduler

Delete Profile


If a Contact Profile is no longer in use and you would like to remove the client from your current list of Contacts, you can delete them.


  1. Locate the client whose profile you would like to delete.
    (See Search for a Client above)



  2. Select Edit and choose Delete Record from the drop-down menu.



  3. A dialog box will appear requesting verification on deleting the contact profile.



  4. Select OK to confirm that you would like to delete the record. You will receive confirmation that the Profile was successfully deleted.
