How to: Create or Edit Appointment Types for the Scheduler


Appointment Types are a way to distinguish one scheduled appointment from other. Appointment Types can be referenced in Merge Tags that are used in messages. Some examples of common Appointment Types are:  Well Check, Follow-Up, Benefits Review, Group Education, Online Classes, or Walk-In.

Note:  The Scheduler must be enabled on an account prior to use. 
                        Please reach out to Teletask staff to enable this feature.

  1. Log-in to: https://hms.teletask.com/, your email address is your username.

  2. Click on Settings  in the top menu bar.

  3. Choose Scheduler from the list of available setting categories.

  4. Locate Appointment Types. 



  5. Here you can choose Add Appointment Type or Edit next to an existing Appointment Type. 



  6. On the Appointment Type Details page, you can add or edit the Appointment Type information.

    1. Required Information



      1. Code - This is a a code used to reference a particular Appointment Type in uploaded files.

      2. Name - This is the name that will be displayed in the Scheduler and using the Merge Tag for {Appointment_Type}.
        Note: Merge Tags can be used to add dynamic information to a message; such as a specific appointment types.

    2. Scheduler Information



      1. Description - This optional field is for your personal reference. If you are using acronyms, this is a great place to describe what the acronym means.

      2. Default Length - This is average length of time an appointment requires. This default is used when scheduling appointments. 
        Note: The Default Length can be manually changed when scheduling appointments if needed.

      1. Color - This is the color that these Appointment Types will display under. This gives you a visual view of what type of appointments you have in a day.



      2. Text Color - This is the color of the display text for these Appointment Types. You will want to make sure that your Text Color and display color will be readable on the scheduler together.

      1. Group Appointment - Checking the box for Group Appointment will allow you to schedule multiple clients at the same time for a single appointment. Typically we see this used with educational opportunities such as training. 

  7. Press Create  or Update  to finalize your changes.

  8. You will receive a confirmation that the Appointment type details have been successfully added for the tenant.
