How to: Block Time in the Scheduler


The Block Time feature allows you to block off time on the schedule to show that either the office is not open or a resource is not available at that time. Examples of when to use Block Time would be during lunch breaks, days the office is closed early, or for holidays. Block Times act as a visual reminder that the office or resource is not available for appointments. Please follow the steps below to block out time.


            Note:  The Scheduler must be enabled on an account prior to use.
                        Please reach out to Teletask staff to enable this feature.

            Note:  The Blocked Time color can be changed by going to Settings and choosing Scheduler.

  1. Log-in to: https://hms.teletask.com/, your email address is your username.

  2. Click on Scheduler   in the top menu bar.

  3. Select your clinic or office in the top left-hand corner.



  4. Choose Block Time  underneath the calendar.



  5. The Blocked Time Details will appear on the right-hand side of the calendar.



  6. Select the Duration for the Block Time. If the Duration is for an entire day, check the box for All Day.



  7. Use the drop-down menu to pick a Resource or check the box for All resources.



  8. On the small Calendar click on the Date where you want to Block Time.  You can use the arrows  to navigate forward or backwards between the months.



  9. Switch to day view.



  10. Click on the applicable Time Slot



  11. Optional: Check the box to set the Block Time to Repeat 



    1. Use the radio button to choose how frequently to repeat the Block TimeDaily, Weekly, or Monthly.



    2. Select the End Date for the Block Time.



    3. The Block Time will now appear on the Scheduler. This will remind you not to schedule appointments during that time.



Update Blocked Time

  1. Select an existing Blocked Time to open the Blocked Time Details.



  2. Make changes to the existing Blocked Time

    1. Modify the Date/Time

      1. On the small Calendar click on the Date where you want to move the Block Time.  You can use the arrows  to navigate forward or backwards between the months.



      2. Switch to day view.



      3. Click on the applicable Time Slot



    2. Change the Duration

      1. Change the Duration for the Block Time. If the Duration is for an entire day, check the box for All Day.



    3. Adjust the Resources used

      1. Use the drop-down menu to pick a different Resource or check the box for All resources.



    4. Alter the Repeat pattern

      1. Check the box to set the Block Time to Repeat 



      2. Use the radio button to choose how frequently to repeat the Block Time:  DailyWeekly, or Monthly.



  3. At the top of the Blocked Time Details choose Update to finalize the changes.




Delete a Blocked Time

  1. Select an existing Blocked Time to open the Blocked Time Details.



  2. At the top of the Blocked Time Details choose Delete. Skip to step 4.
    Note: for repeating Time Blocks, you will receive the Delete Recurring dialog box in Step 3.



  3. In the Delete Recurring dialog box, use the radio buttons to indicate if you want to delete This Blocked Time or the Reoccurring Blocked Times. Press OK to finalize the decision.



  4. The Blocked Time will now be removed from the scheduler.
